Staff Permissions (Point of Sale)

Setting Staff Permissions

  1. Click Admin
  2. Click Staff    
  3. Search for and select the staff member. 
  4. Click Configure Permissions
  5. Click Permissions
  6. Check the box beside the tasks that you would like this staff member to perform. 
  7. Click Ok    
  8. Click Inventory Permissions
  9. Check the box beside the departments that you would like this staff member to have access to update. 
  10. Click Ok    
  11. Click Save    

Note: You will need to set online permissions for staff members added through the POS in the online portion of the software.

Sales

  • Login: This basic functionality determines whether or not a person is allowed to open and use the POS program. 
  • Perform Transactions: If a staff member is to make sales, check this field. Sales are also called transactions. 
  • Perform Refunds: Check this box is staff is allowed to perform refunds. 
  • Perform Manual Discounts: If you want your staff to be able to perform manual discounts, check this feature. 
  • Reprint Receipts: Customers automatically receive a receipt if the register if the item(s) sold and the register is setup to dispense receipts. Since duplicate receipts could be offered to customers as an original, assign this feature with discretion. This permission is also applied to reprinting invoices. 
  • Open Cash: Staff with this permission may enter the daily float amount. 
  • Close Cash: Staff with this permission may enter the closing cash amount. 
  • Tab Administration: This permission allows administrators to open, charge and close tabs for golfers. 
  • Complete Pre-auth transactions: This permission allows administrators to complete a pre-auth transaction taken for a power cart or tab and charge the customer's credit card.

Table Service

  • Table Service Administration:
  • Cancel Quick Sale in Table Service: This permission allows a staff to be able to cancel a quick sale in table service after the order has printed to a kitchen or bar printer. Only clubs using Table Service need to address this permission. 
  • Transfer ownership of locked tables: For clubs using the table service functionality of the software and have activate the "Lock tables by staff member" setting in Tables Config.This permission allows an employee to transfer a table from one server to another. This permission is usually reserved for food and beverage managers. 
  • Access locked tables without changing ownership: For clubs using the table service functionality of the software and have activate the "Lock tables by staff member" setting in Tables Config. This permission allows an employee to add items to a customer's order in table service without them taking over ownership of a table. This permission is usually reserved for food and beverage managers. 

 

 

Tee Sheet

  • Tee Sheet Administration:
  • View Tee Sheet: For pro shop employees, it is usually vital that they be allowed to view the tee sheet. 
  • Delete players from bookings: This permission allows an employee to delete a booking from the tee sheet in the point of sale system. 

 

Customers & Staff

  • Staff Administration:
  • Customer Administration:
  • Add Customer/Staff: This permission allows staff to add club members & staff to the system. 
  • Delete Customer/Staff: This permission lets staff permanently remove members & staff from the member list. 
  • Change General Customer/Staff Information: Staff will be able to change any field on the General screen of the Member/Staff Administration only; they cannot access other screens in this area. General information includes items such as name, address, phone number, email address, etc.; it doe not include items such as member type or account limit. 
  • View Member Type Information: Staff can only review the member type information; they cannot change it. 
  • Change Member Type Information: Staff is able to change all "Member Type Information" except the member's specific type (ie. Weekday Member to Platinum Member). With this permission the staff member can change the member's username, category, pricing level, participating in loyalty point program and active status. The ability to change a member type is controlled using the next permission. 
  • Change Member Type: Staff is able to change a member's type (ie. Weekday Member to Platinum Member). 
  • Change Account Information: Staff has the ability to make changes to a member's "on account" privileges including allowing the member to purchase items "on account" and setting the member's account limit. 
  • Change Security Information: This permission allows the administrator to change any regular administrator's password. 
  • Manage Batch Payments: The batch payments feature allows a use to invoice (sell) an item to multiple members or accounts in one step, such as memberships and weekly league dues. Typically, this permission is reserved for senior staff.

  • Change Staff Permissions: The ability to change an administrator's POS permissions. 

 

Inventory

  • Alter Items & Departments: This permission allows staff to alter, add or delete inventory. Before Staff can alter inventory, the departments he or she can edit must be tagged under the INVENTORY PERMISSIONS.

Transaction Viewer

  • View All Transactions: This permission lets a person view all sales made on any day. 
  • Perform Back Dated Transaction: This permission lets the staff ring in sales for previous days (back date). 
  • Change Payment Type of Transactions: This allows a staff permission to correct payment type selection errors through the transaction viewer. 
  • Void/Reinstate Transactions: Staff with this permission can void or reinstate any sale through the transaction viewer.

Reports

  • View Sales Snapshot: This permission allows the staff to view and run all sales snapshot reports. 
  • View Reports: Administrators can be given the ability to see specific reports by checking this permission then selecting the applicable reports in the expanded list that appears when this option is selected.
