Item Type Overview
Tee On gives you the ability to setup several different types of items depending on how you want the item to behave. The POS includes 5 different categories of Items.
Types: Inventory Item, Non-Inventory Item, Modifier, Combo and Special. Once you have identified the category that the item you are adding belongs to you can select the specific type.
The default Item Type can be set at the department level when adding or editing a department. Using the default type is an important tool in ensuring you are selecting the correct item type as items belonging to the same department generally have the same Item Type.
When setting up your items, it is important to remember that once an item is saved, the item type cannot be changed. If an incorrect item type is selected the item will need to be deleted and re-added. If you have any questions about item types please contact Tee On Support.
Inventory Item
The Inventory Item Type is for items that you want to use the POS to track their sales, cost and inventory levels. For example, items such as shirts, gloves and putters. Even if you are choosing to not use the inventory tracking feature of the POS for these items at this time, please ensure that you are selecting the inventory item type in case you would like to utilize it in the future.
Note: for items that you are receiving to the club and may have multiple sale items for – like a keg of beer, please see the Raw Material/Warehouse section.
The Inventory Item with Forced Modifiers Type is for items that you want the POS to track their sales, cost and inventory and pop up a Forced Modifier at the time of sale. A Forced Modifier is a popup that forces the staff to make a selection from a category of modifiers that you have setup.
Non-Inventory Item
The Non-Inventory Item Type is for items that do not have am inventory. For example, items such as green fees, power cart and pull cart rentals are non-inventory items as you are not tracking their inventory through the POS.
A Non-Inventory Item that uses Raw Materials is a special type of item where the inventory that we are tracking is not on this item, but on the Raw Material Item that it is linked to. Examples of Non-Inventory Items that Use Raw Materials are any items that come into the club in one way and are sold in multiple ways.
For example, a keg of beer is a raw material that comes into the club. The sale items for the pitcher, large and small glasses of beer are Non-Inventory Items that Use Raw Materials.
A Non-Inventory Item that uses Raw Materials with Forced Modifiers is a special type of item where the inventory that we are tracking is not on this item, but on the Raw Material Item that it is linked to and the item has a Forced Modifier attached that requires the staff to make a selection when making a sale. These types of items are generally only used on the Food and Beverage side.Examples of Non-Inventory Items that Use Raw Materials are any items that come into the club in one way and are sold in multiple ways.
For example, ground beef is a raw material that comes into the club. The sale item that is the Non-Inventory Item that uses Raw Materials with Forced Modifiers might be a burger meal that includes the ground beef and has a series of Forced Modifiers attached that require the staff to select a side option.
Modifier
The Modifier Item Type is used for items that are not actually sale items themselves but are items that describe or alter the final sale item. Modifiers are often used in Food and Beverage setups to allow wait staff to select the different options for a meal and to pass information on to the kitchen. For example, meat temperatures, egg style and customer preferences, such as dressing on the side would all be Modifiers.
When adding items to the Point of Sale, it is always a good idea to add your Modifier items and Modifier Categories first. This allows you to link up your Modifiers as you are adding your sale items.
The Modifier the Uses Raw Materials Item Type is used for items that are not actually sale items themselves but are items that describe or alter the final sale item and include a raw material that we are tracking the inventory on. Modifiers are often used in Food and Beverage setups to allow wait staff to select the different options for a meal and to pass information on to the kitchen. For example, the modifiers for side options such as french fries, onion rings, sweet potato fries, and garden salad would be set up as Modifiers that Use Raw Materials if we are interested in tracking the inventory on fries, onion rings, etc.
When adding items to the Point of Sale, it is always a good idea to add your Modifier items and Modifier Categories first. This allows you to link up your Modifiers as you are adding your sale items.
Combo
Combo items can be used to group two or more items into a single sale item. When a combo item is sold, revenue is pointed at the accounting reference of the items used within the combo. For example, a green fee and cart combo would allocate revenue to Green Fee Revenue and Cart Rental Revenue.
When running sales reports on combo items you have the option for the report to include the combo item or include the combo item sales under the items that are within the combo. For example, with a green fee and cart combo if you check the option when running the report to "Show Combo Items" the sales for the combo itself will be included on the report. If the box is left unchecked, the sales for the combo item will be included with the original green fee and cart items that are within the combo.
A Dynamic Combo is a special Item Type that allows you to group together different items like you would in a combo, however in this case, the items within the combo are not set and can be selected by the staff at the time of sale. For example, perhaps you are selling a junior camp package that lets the customer choose from a variety of activities. Each of the activities would be added as a popup on the dynamic combo that the staff could select.
Note: The price is set on the Dynamic Combo – the options selected cannot add an extra charge. Also, existing Combo Items or Items with Modifiers on them cannot be included in a Dynamic Combo.
Special
A Raw Material or Warehouse Item is a special type of item that is used for storing the inventory for an item that is brought into the course in one way and sold in multiple ways. Raw Material Items are almost exclusively used in the Food and Beverage setup. Examples of Raw Material Items include a keg of beer, ground beef or a case of chicken breasts that will be brought into the course as a single Raw Material and included in many sale items.
When adding items to the Point of Sale, it is always a good idea to add your Raw Material/Warehouse items first. This allows you to link up your Raw Materials as you are adding your sale items.
A Membership Item is a special item type that should be used for membership or package items that you plan to charge to the Membership Account. Tee On’s Membership Account is intended as an account that is separate from regular food and beverage and Proshop purchases.
If you plan to use the Membership Account, you MUST set up the items that will be charged to this account as Membership/Yearly Rental Items. ONLY items with the Membership/Yearly Rental Item Type can be charged to the Membership Account, the item name or purpose does not control this.
