Course Settings

The Course Settings is a comprehensive list of optional settings specific to your club's tee sheet. You have complete control over your club's settings and they can be updated at any time. 

 

Navigate to Course Settings

  1. Click Administration
  2. Click Course Settings
  3. Customize the settings to fit with your club’s policies and procedures.
  4. Click Save

 

Web Booking: General

  • Web Booking: Enables online booking. Check the box to enable/disable web booking.
  • Open/Close Dates: Enables start and end dates for the current season. If disable, web booking is controlled by the web booking setting. If enabled, web booking is only on between the open and close dates. The Allow web booking is still respected.
  • Show Notice: Visible to golfers when they book online. The notice entered here will be visible to online bookers when checked. This feature can be used for information notices.
  • Booking Buffer: Same-day web booking delay in hours. A one-hour delay setting would mean that at 9am, the next available online tee-time booking would be after 10am.
  • Web Pairing: Set the rules around web pairing. Allow singles, twosomes and threesomes to book with existing parties online. If not allowed, golfers can only book into empty times.
  • Allow Singles to Book: If you do not allow singles to book online, they must call the pro shop to book. This option is only available if you do not allow "Web Pairing". If you do allow pairing, singles can be controlled using the options described below.
  • Singles, Twosomes,Threesomes Can Book:  These are the options available when you allow pairing on the web. You can choose the minimum number of golfers already in a booking before a party of less than four is allowed to book. If you do not want singles to be able to book in an empty time but do want them to pair themselves with other partially filled bookings you would choose "Only if at least (one,two or three) golfers are already booked" beside "Singles can book". Be aware that parties of less than four may get the message "There were no times available on this day" when the tee sheet is not full. A common question is "Why can't I book at 'some time' when I know that it is empty?". Usually this is because the golfer is trying to book as a single but you do not allow singles in empty times. These settings are ignored if "Web Pairing" is off.
  • Web Pairing Message: Message for web booking of less than four golfers. Enable this setting to display a message to parties with fewer than four golfers (E.g. "You are booking for less than 4. You may be paired up.")
  • Web Cancellations: Allow golfers to cancel bookings online.
  • Cancel Buffer: Set how many hours before the schedule time that bookings can be cancelled online. For example, if this is set at 4 hours, the booker can cancel through the web four or more hours prior to the tee time. If the scheduled reservation is less than four hours away, the golfer will receive a message to call the pro shop to cancel the booking.
  • Web Changes:  Allow golfers to change bookings online.
  • Change Buffer: Set how many hours before the scheduled tee time that bookings can be changed online. For example, if this is set at 4 hours, the booker can change through the web four or more hours prior to the tee time. If the scheduled reservation is less than four hours away, the golfer will receive a message to call the pro shop to change the booking
  • Restrict Cancellations/Changes to Booker:  Restricts cancellations and changes to the booker. Cancellations and changes are restricted to the golfer that booked the tee time. If not enabled, anyone included in the booking can cancel or change the booking.
  • Hotel Bookings: Hotels may either book into time slots allowing public players or reserved specifically for hotels.
  • Starting Nine: Show starting nine for web booking (e.g. Front, Back, West)
  • Turn Nine: Show turn nine for web booking (e.g. Front, Back, West)
  • Hide League Player Names: Hide names of league players on the league tee sheet. The names will still show on the pro shop tee sheet. League players can still choose to show their names to other league players editing their profile. They would go to "My Account" then "Preferences" and check the box labeled "Show name in leagues".
  • Booking Window: The minimum and maximum number of days in advance golfers can web book. This is broken down by public, hotels and member type. Also included is the maximum number of bookings a member can have at one time. This number cannot be exceeded by the member booking over the web but the pro shop can still book as many times as they like for the member. Times booked both over the web and in the pro shop are included in the count.
  • All Times: Show all available tee times (no search). You have two options for the format of your website online booking plug-in. You can display all available tee times or allow the golfer to search. If you want to show all available tee times for the day, check this box. If you want to allow the golfers to search, uncheck this box.
  • Default Day for All Times: If you have chosen to show all available tee times (see above) you can set the default day displayed to the golfer when they visit your online booking plug-in. The number represents the number of days in advance to show to the golfer. Tomorrow is 1, two days from now is 2, etc. If the number of days chosen here is beyond the maximum days ahead allowed by the member type settings the member type setting will be used instead.
  • Maximum Results Shown: Maximum number of times to show to the golfer per nine. The maximum number is applied to each nine with times available. If you have chosen to show all available tee times this setting will be ignored.
  • Hide Confirmation Sign Out: Hide sign out button on confirmation screen. Most golfers who complete a booking have completed their visit to your website. As a convenience for them there is a "Sign Out" button on the confirmation screen to assist them with safely ending their session. In some cases it may not make sense to show the sign out button. In these cases, you may check this box to hide the button.
  • Default Holes: Web booking default holes. Choose the number of holes to book when booking through the web. This may result in golfers inadvertently bookings the wrong number of holes. If this is a concern, leave the setting at "No Default".
  • Replace Course Name: Show name of starting nine instead of course name on edit bookings list. A course can choose to display the nine name instead of the course name in the golfer's list of current bookings. An example where this may be useful is for a course that has 36 holes and is configured in the system as a single course and runs their property as two 18-hole courses. In this case the starting nine name may replace the name of the 18 hole course. Unless you know that this is what you want, do not enable this.

 

Web Booking: Members

  • Start Hour: Hour to start web booking for members. Choose the hour that you want to allow members to start booking. This setting, combined with the "Maximum days ahead members can web book," determines the hour of the day that members can start booking for the furthest day out. For example, if you want to allow members to book for Saturday starting on Monday at &:00am, set the maximum number of days ahead to five and the hour to start web booking to 7:00am.
  • Force Player Names: Force booker to enter player names for entire party. Members will be forced to enter the names of all other players. Cannot be enabled if "Prevent typing player names in the booking (choose from playing partners or guest)" is also turned on.
  • Prevent Player Names: Prevent typing player names in the booking (choose from playing partners or guest).
  • Remove Inactive Players: Remove playing partners from members' lists when the playing partner is active. Inactive members will be removed from the playing partner lists of all members. This is disabled by default which allows members who have existing members to continue to book tee times for former members after the member becomes inactive. This is often desired especially at the beginning of the season before everyone has paid their membership fee for the season.
  • Maximum Bookings: Maximum daily tee times per member. You can restrict the number of tee times a member can have on a single day. This is distinct from the maximum number of bookings a golfer can have because members can book tee times for players other than themselves. For example, a member could book 8 players (two tee times) but include themselves only in one of those times.
  • Member Tee Sheet: Allow members to view entire tee sheet.  Please note that blocked bookings, league and tournament times will not be shown.
  • League Times: All members can view league times when they view the tee sheet.
  • Tournament Times: All members can view tournament times when they view the tee sheet.
  • Hide Names: Hide all names on the tee sheet unless the member is in the booking.
  • Non-Member Label: Label for non-members on the member tee sheet.
  • Show Holes: Allow members to see number of holes available on the tee sheet.
  • Always Show Current Day: Always show the current day on the member tee sheet even if that day is not available for booking.
  • Hide Front Nine: Hide the front nine from members viewing the tee sheet.
  • Hide Back Nine: Hide the back nine from members viewing the tee sheet.
  • Show Tee Sheet Before Booking Opens: Members can see the tee sheet on the furthest day out before they are allowed to book tee times.
  • Book from the Tee Sheet: Members use the member tee sheet as their primary booking launch point rather than the search screen or the list of all available tee times.
  • Member Roster: Allows members to view the member roster. Only members who choose to show their name on the roster will be visible. Members can set their visibility by going to the Member Roster page, check the "Show my name on the roster" box and click "Save".

 

Web Booking: Public

  • Allow Booking Prior to Account Activation: Allow booking before the golfer activates their account. On registration a golfer must provide a valid email address. To compete the registration the golfer must activate their account which validates their email address. If you allow the golfer to book prior to account activation you allow the golfer to skip this step for their first booking. This simplifies the process for the golfer but eliminates the control of validating their email address for that first booking.
  • Require Postal Code: Require the public golfer to enter their postal code when they register to book online.
  • Start Hour: Hour to start web booking for public players.
  • Force Player Names: Force booker to enter player names for entire party. Public players will be forced to enter the names of all other players.
  • Maximum BookingsMaximum number of daily bookings per golfer. Some golfers may want to play your course twice in the same day. Select "2" to allow such bookings.
  • Credit Card Required: Web booking requires credit card. Require public players to enter a valid credit card number for booking. There is no way for you to retrieve the credit card number that the customer entered for this setting. It is only checked to ensure a valid credit card number is entered, and is then discarded. Tee On never stores credit card numbers, but you can store them with the Moneris Vault. This is meant to reduce no shows at your course.

 

Pro Shop: Tee Sheet

  • Days Available: Number of days available for booking on the tee sheet. The days available to the pro shop staff. Staff will only be able to book the number of days chosen here. However, administrators with permission, can use the Calendar to see more days.
  • Combine Nines: View all nines on a single tee sheet. This setting is used primarily by 27-hole courses, which may turn on this setting. Other clubs will likely turn it off. It will merge all the nines into a single tee sheet, repeating duplicate times, and using different colors to identify the nines.
  • Revert to First Nine: Revert to first nine on date change. Revert back to the first (Front) nine when a new date is chosen on the tee sheet.
  • Missing Credit Information:  Flag non-member bookings that lack credit card information. If this setting is enabled, the tee sheet will highlight (in purple) times that have been booked without credit card information. For this feature to be useful, you must also turn on "Credit Card Required" in the Administration - Online Pricing section and/or "Pro shop requires credit card" in the Pro Shop section.

 

Pro Shop: Booking Screen

  • Search Field: Default search field on the pro shop booking screen. When staff take bookings by telephone, the cursor will flash in the field for Name, Phone, Email, or Customer ID as determined by the setting chosen.
  • Default to Member ID: Default to the Member ID field.
  • Overwrite Area Code: Default to area code in phone number fields. If your club takes most of its bookings from one area code, do not enable this setting. For multiple area codes, enable this setting.
  • Default Phone Numbers: Use default phone numbers. Because Tee On uses phone numbers as a second "identifier" for all bookers, each reservation requires a phone number, either a default or another one input by pro shop staff. To save time, the system provides a phone number default. this means the phone number field will be filled in automatically (Booking 1 will have the phone number 000-0001, Booking 2 will be 000-0002, etc.). Enable this setting to use the default instead of a real phone number. Note: While using the phone default will make the bookings faster, there are some drawbacks. If a booker needs to be contacted for any reason, the club will be unable to do so. In addition, data for communication, such as emailing, will not be possible since the system requires actual phone numbers to create valid golfer accounts. The club can either take phone numbers for all bookings or use the Phone Default, not both. Some users of the system enter legitimate phone numbers and most of the time made-up numbers when they are very busy, for example, 555-5555.
  • Default Holes: Default number of holes to book in pro shop. During bookings, staff must decide if the group is playing 9 or 18 holes. Choose the default that represents how golfers book most often to eliminate one step during bookings.
  • Credit Card Required: Pro Shop requires credit card. Require staff to enter a valid credit card number for all non-member bookings.
  • Required Days: Select the days of the week which require a credit card for booking in the pro shop.
  • Match Customer Type: Only allow bookings that match the customer type in the pro shop. If staff are to always match bookings to the predetermined customer types, enable this setting. Staff can never book golfers that do not have the exact customer type (e.g., Full, Corporate) when this setting is enabled.
  • Booking Window Alert: Warn of booking players outside of their booking window. Show a warning to the staff if they attempt to book someone outside that player's booking window. The staff can still complete the booking.
  • Conflict Check: Check for golfer conflicts at time of booking. The Tee On system can prevent staff from booking the same golfer more than once for the same playing time interval, such as 9am and 10:10am. Enabling this setting will inform pro shop staff if any golfer being booked in a group has a tee time already booked that will conflict with the current booking. However, Super Administrators will always have the ability to book as many players as required under one member. However, when this setting is enabled, the staff will not be able to submit changes to a booking of this type when a conflict exists, such as having one member used in multiple time slots. Staff can change the conflicting member to another member to resolve the conflict or ask a Super Administrator to update this kind of booking.
  • Surnames First:  Display golfers by surnames (last name) on the tee sheet.
  • Confirmation Screen: Show confirmation screen in pro shop. The confirmation screen gives the booker's name, tee time, and a confirmation number. Most users find this screen unnecessary if they do not routinely provide customers with confirmation numbers. To turn off the confirmation screen disable this setting.
  • Show Member Stats Before: Show statistics for members when searching before selecting a tee time. Pro shop staff can see statistics on member and non-member golfers before taking a booking or after selecting a time. Statistics include the last round the booker played, his/her last "no-show", and the number of guests this person has brought to the club.
  • Show Member Stats After: Show statistics for members when searching after selecting a tee time. Pro shop staff can see statistics on member and non-member golfers before taking booking or after selecting a time. Statistics include the last round the booker played, his/her last "no-show", and the number of guests this person has brought to the club.
  • Show Non-Member Stats Before: Show statistics for non-members when searching before selecting a tee time. Pro shop staff can see statistics on member and non-member golfers before taking booking or after selecting a time. Statistics include the last round the booker played, his/her last "no-show", and the number of guests this person has brought to the club.
  • Show Non-Member Stats After: Show statistics for non-members when searching after selecting a tee time. Pro shop staff can see statistics on member and non-member golfers before taking booking or after selecting a time. Statistics include the last round the booker played, his/her last "no-show", and the number of guests this person has brought to the club.
  • Maximum Group Size: The maximum group size allowed on the tee sheet. This is the maximum number of golfers that the pro shop staff can book as a single group. It can range from 4 to 200.)
  • Split Group Bookings: Split group into individual tee times after initial booking. After a group is booked it can be treated either as a group or as individual tee times. If the group is treated as individual tee times it cannot be deleted or reduced in size by editing the first group. Each tee time would have to be deleted individually. If the group is not treated as individual tee times the staff can delete or reduce the size of the entire group by editing the first tee time and deleting the booking or adjusting the number of golfers. Once booked, groups cannot be increased in size. Another booking would have to be made to increase the size of the group.
  • Enhanced Booking Screen Layout: The booking screen layout determines which fields will be shown by default on the booking screen. All other options are still available by clicking the corresponding icon.
  • Booking Screen Extra Note Option: When the standard booking screen layout is chosen, an extra option can be available under the notes field. Choose the extra option here.
  • Customer Type Change: Change customer type from the booking screen. Customer types are normally set when a customer is added to the system or when they purchase or renew their membership. There is no need to change the customer type each time they book a tee time. If you have a specific case where you need to change the customer type frequently you can enable this setting.
  • Flag Inactive: Flag inactive golfers on the booking screen.

 

Carts

  • Cart Count: Number of carts in fleet. This field refers to the club's active power cart fleet (total), and ideally does not count carts that are out of service. Every time you view the tee sheet for a new day the number of carts is set to the fleet total for that day. If you subsequently change the fleet total, the viewed days will not be changed. To change the total for a day that has already been viewed use "Change Available Carts for a Single Day" below.
  • Single Day Cart Count: Set available carts for a single day. If your course brings in carts for an event, click "Set Cart Count", select the date, enter the new total and click "Submit".
  • Mandatory Carts: Make carts mandatory for all regular bookings. Reservations will require a power cart for each pair in the group.
  • Individual Riders in Pro Shop: Assign individual riders in pro shop.  Carts can be selected one of two ways. If the setting is disabled, staff will only need to use a pull-down to indicate how many carts are required for the group, usually one or two. If this setting is enabled, staff can tag each golfer in the group who will be riding. This may be useful if your club records the name of each golfer during the reservation. The system assumes that two riders equals one cart, three or four riders means two carts. Enabling this feature can speed up the check-in process; however, it does not add steps to the booking process.
  • Cart Duration: Average number of hours for each 18-hole cart booking. The system tracks when carts become available for subsequent rounds, based on the 18-hole turnaround time. For 9-hole cart bookings, the 18-hole time is automatically cut in half. For this setting, choose the club's expected golf round time (in hours). We suggest adding half an hour to your average round to account for slower players.

 

General Course Settings

  • Currency Format: The currency format
  • Phone Format: Use the phone format of the selected country.
  • Pro Shop Phone: Phone number to call for bookings. Tee On will post the club's phone number in case customers want to call the course. Enter the number used for bookings.
  • Default Area Code: Default area code of the course. A default area code must be supplied. This is the most common area code of the golfers booking at the course.
  • Course Email:  Contact email address for the course. Enter the club's contact email address in this field. It will appear as the reply address in the emails sent from the Tee On web system.
  • Default Language: Default language.
  • Directions: Directions to your course. Click on the link to add directions to your golf course, which can be emailed to customers from the tee sheet. In the message section, type directions from all surrounding areas to your course. Be as specific as possible, and be sure to include the course name and phone number. When finished, click Save.
  • Template Turns on Multiple Nines: Templates can be set up to turn to different nines within the same template for different time periods during the day. It is used most commonly by 27-hole courses.
  • Time Zone: The time zone of the course. If the time zone does not reflect the area in which your club is situated, use the pull-down arrow to change it. Online booking start times etc. are based on the time zone selected.
  • Earliest Tee Time: The absolute earliest tee time in your entire season. Enter default tee times that cover the club's widest range of possible booking times. In other words, even though your club may delay opening until 7am in April, set the first tee time for 6am if your club ever takes bookings for 6:15am. Actual booking parameters are set on the templates. This means that although the earliest default booking time is 6am, actual start times could begin at 6:30 or 7:00. The latest close time refers to the last tee-off time, not the closing time for the course.
  • Latest Tee Time: The absolute latest tee time in your entire season. Enter default tee times that cover the club's widest range of possible booking times. In other words, even though your club may delay opening until 7am in April, set the first tee time for 6am if your club ever takes bookings for 6:15am. Actual booking parameters are set on the templates. This means that although the earliest default booking time is 6am, actual start times could begin at 6:30 or 7:00. The latest close time refers to the last tee-off time, not the closing time for the course.
  • Shotgun Disclaimer: Shotgun disclaimer setup. Golfers booking into a shotgun over the web will be presented with a disclaimer they have to agree to. Please include any terms and conditions you want them to see before they complete the booking.

 

Nines

  • Display Order: Nine display order (e.g. Front, Back). The display order of the nines can be changed by highlighting the desired nine then moving it up or down using the buttons to the right. If you display all the nines on one tee sheet, see "View all nines on a single tee sheet", you can choose a background colour for the nine.
  • Background Colour: Set the background colour of each nine. You can choose a background colour for each nine. Different background colours make it easier to distinguish between the nines on the pro shop or tee sheet.
