On Deck - Waitlist Feature

The On Deck Waitlist allows golfers to be notified when a tee time becomes available that matches their preferred playing dates, times, and group size. This helps customers secure tee times that may have previously been unavailable due to cancellations or booking changes.

Enabling the Waitlist

Once the required waitlist settings have been enabled, the Waitlist widget will appear on the tee sheet.

The Waitlist can be turned on by going to: Settings > Tee Sheets > General

Note: Customers must be logged in to their account to use the waitlist feature.

Creating a Waitlist Request

When submitting a waitlist request, customers can choose:

  • One or multiple future dates
  • A preferred time range or select All Day
  • The number of players
  • How they would like to receive notifications:
    • Email
    • Text Message (SMS)

Customers may create multiple waitlist requests if needed.

How Notifications Work

When a tee time becomes available that matches the customer's selected criteria, a notification will be sent by email or text message.

Because tee times are offered on a first-come, first-served basis, receiving a notification does not guarantee the tee time will still be available when the customer attempts to book it.

If the tee time is still available, the customer can follow the booking link provided in the notification to complete their reservation.

Managing Waitlist Requests

Currently, customers can cancel waitlist requests through the cancellation link included in email notifications.

Note: Cancellation through text message notifications is not currently available, although support for this functionality has already been developed and will be available in a future update.

A dedicated Requests Page is also planned for a future release, allowing customers to:

  • View active waitlist requests
  • Modify existing requests
  • Manage notification preferences

Waitlist Request Statuses

Waitlist requests move through several statuses during their lifecycle:

Pending

The request has been created and is actively waiting for a matching tee time to become available.

Processed

A matching tee time has been found and a notification has been sent to the customer.

Complete

The customer successfully booked a tee time using the notification link. Completed requests are tracked for reporting purposes.

Important: A request is only marked as complete when the customer books using the link provided in the notification.

Cancelled

The request was manually cancelled by the customer or automatically cancelled after the selected date(s) have passed.

Automatic Cancellation

To prevent customers from receiving notifications for outdated requests, waitlist requests are automatically cancelled once all selected dates have passed.

This ensures that only active and relevant requests continue to receive notifications.

Reporting

All waitlist requests are tracked and available for reporting, allowing facilities to measure the effectiveness of the waitlist system and monitor bookings generated through On Deck notifications.
